Manage your workspaces using the Activity pane

Microsoft Office Live Workspace beta makes it easy to collaborate with others and to manage your projects by keeping you up to date on activity in your workspaces.

When you open a workspace, the Activity pane on the right side automatically shows you recent workspace activity, such as when someone changes a document or shares a workspace.

Activity Pane

When you open a document in your workspace, the Activity pane displays recent activity for that document. Additionally, Office Live Workspace gives you the option to receive activity updates by e-mail.

Note : The Activity pane only appears if you are signed in to Office Live Workspace.

Review workspace activity

The Activity pane is available for any workspace or document that you created or that has been shared with you, except for those items located in the Deleted Items workspace. An entry is added to the Activity pane each time you or people you share with does one of the following:

  • Create, modify, or delete a workspace, folder, or document

  • Add or remove a document from a workspace or folder

  • Add a comment to a workspace or to a document in the workspace

  • Save a new version of a document

  • Restore an older version of a document

  • Begin or end sharing by the workspace or document owner

  • Rename a workspace, folder, or document

  • Change a description for a workspace or document

To review the activity in any of your workspaces:

  1. In Office Live Workspace, on the left navigation bar, click the name of the workspace for which you want to review activity.

  2. When the workspace opens, the Activity pane appears on the right side of the screen in collapsed view. At the top of the Activity pane, click Expand to view a wider version of activity tasks.

    Note : If the Activity pane is not visible, on the toolbar, click Activity to open the pane. When the Activity pane is open, clicking the Activity button closes the pane.

  3. When any document is added or edited, the related entry in the Activity pane contains a hyperlink to the document. Click the name of the document where it appears in the Activity pane to open that item.

Review activity for a specific document

After a new document is created or added to the workspace, you can view activity for that document, including the date and time that the item was created, added, or edited, and when comments were added to that document. Up to 100 of the most recent actions appear in the Activity pane.

Note : Although there is no Activity pane for the default Documents workspace or the Documents workspace under Shared with Me on the left navigation bar, an Activity pane is available for each document that is stored in those workspaces.

To review activity for an individual document:

  1. In Office Live Workspace, on the left navigation bar, click the workspace that contains the document you want to view.

  2. In the workspace, click the document for which you want to view activity.

  3. When the document opens for viewing, on the toolbar, click Activity to open the Activity pane in collapsed view on the right side of the screen.

  4. At the top of the Activity pane, click Expand to view a wider version of activity tasks. To close the Activity pane, on the toolbar, click Activity.

Manage e-mail notifications

Office Live Workspace automatically notifies you by e-mail about activity in your workspaces. An e-mail message is sent notifying you each time one of the following events occurs:

  • A document is created, added, or edited

  • A comment is added to the workspace or document

  • A workspace is renamed

Office Live Workspace sends you an activity e-mail message the first time that a change occurs in a workspace since your last visit to that workspace. After you receive an activity e-mail message, you will not receive another for the same workspace until after the next time that you visit that workspace.

Stop receiving e-mail notifications

To stop receiving activity e-mail messages for all workspaces and documents on Office Live Workspace, do one of the following:

  • In Office Live Workspace, on the left navigation bar, click the name of any workspace. At the bottom of the     Activity pane for the workspace, clear the Send me activity e-mails check box.

  • At the bottom of an activity e-mail message, click Stop all activity e-mails. When prompted, provide your e-mail     address and password.

Note : If you discontinue activity e-mail notifications, you will still receive e-mail newsletters from the Office Live Workspace team alerting you to special promotions, new features, and tips for using your workspace more effectively.

Enable e-mail notifications

By default, e-mail notifications are enabled when you subscribe to Office Live Workspace. However, if you turn off notifications and then later want to enable them again, select the option Send me activity e-mails at the bottom of any Activity pane while you are signed in to Office Live Workspace.
